Office Assistant (Bilingual English/Chinese REQUIRED)

Supervisor: Director of Operations

Overview: University Settlement is one of New York City's most dynamic social justice institutions, with an impressive legacy as the first settlement house in the nation. For 130 years, University Settlement has been an anchor in the low income and immigrant communities where we work, offering pioneering programs in early childhood care and education, youth development, eviction prevention, literacy, theater and visual arts, senior services, and mental health. Each year, we engage over 40,000 New Yorkers through our network of 31 sites in Manhattan and Brooklyn. Our mission is to empower the individuals we serve through comprehensive, quality services that strengthen families and meet the current needs of the community.

University Settlement operates a 42,000 square-foot community facility, in partnership with the Chinatown YMCA, that includes recreational, fitness, classroom, meeting and office space for the community. The Office Assistant will be responsible for creating a welcoming atmosphere, providing excellent customer services, and regular monitoring of center activities in University Settlement's spaces. In addition, the ideal candidate will be an active member of the team
that fulfills the mission of University Settlement and the Center.


  • Front desk and phone reception, tours, information sharing and customer relations with all inquiries
  • Physically monitoring the center, in coordination with other center staff, during high use times and at regular intervals, to ensure safety and proper use of the center
  • Assure daily and hourly renters have reserved resources ready and available; trouble-shoot and address problems with users, equipment, spaces in coordination with Coordinators, Directors and YMCA partners
  • Assist with room set-ups to ensure that the space is properly equipped
  • Data-entry and other administrative tasks
  • Assist with outreach and other public activities
  • Translate program materials such as flyers as needed (English – Chinese)
  • Provide support for new program initiatives and partnerships
  • Other duties, as requested by Site Coordinator, and as assigned by Center Directors


  • Bachelor's Degree, or some college coursework, and other administrative work experience 
  • Prior customer relations experience required; experience in a non-profit setting preferred
  • Excellent computer skills, understanding of neighboring communities, and cultural competency required
  • Excellent communication skills. Ability to assist by providing interpretation for non-English speaking participants when needed (Chinese)
  • Ability to work independently and as a member of a collaborative team
  • Strong interpersonal skills, organizational skills, problem solving ability and crisis intervention skills required
  • Bilingual Cantonese or Mandarin required

Hours: 17 Hours a week. Must have a flexible schedule and be able to work mornings, afternoons, evenings and possibly weekends

Salary: $16.10
