Data Management Assistant

University Settlement Healthy Families is an evidenced based program offering home-based services to expectant families, beginning prenatally or shortly after the birth of the child. The Healthy Families New York Home Visiting Program is a comprehensive prevention program that focuses on the safety of children while at the same time supporting families.

Butterflies is a Children Under Five Mental Health Initiatives funded through NY City Council and private grants. This innovative one of a kind program provides direct treatment services, consultation, groups and professional development.

As the Data Management Assistant, you are responsible for administrative and quality assurance tasks to ensure compliance with regulations, and to produce reports for funders and the Senior Program Director with a goal toward working collaboratively to reduce risk and ensure quality services to families. You are organized and passionate about accuracy and a skilled excel operator.


What you will do:

  •   Work with management to implement and maintain data integrity standards
  •   Prepare monthly reports of related service delivery and performance outcomes for funders
  •   Prepare data reports for funding applications, periodic funding reports, and other purposes
  •   Enters intake and other participant demographics into database, and assist with overall data management and reports
  •   Ensure all participant files and documentation are accurate and updated in Salesforce and all other databases
  •   Manages archiving of closed files
  •  Attend meetings to review data collection for both Healthy Families and Children Under 5
  •   Process requests for payment, supply orders, and petty cash reconciliations
  •   Provide administrative and operational support including assisting with logistics planning for workshops, events, and trainings
  •   Assisting in developing marketing/outreach materials and in preparing for and facilitating family groups and events
  •   You have a strong commitment to advancing diversity, equity, and inclusion

What we are looking for:

  •   You have 2+ years in administrative or data related role
  •   You are technologically savvy with fluency with Microsoft Office, especially Excel; knowledge of Salesforce is a plus
  •   You thrive in a busy environment and able to juggle multiple assignments on time, all the time
