Program Assistant - Part time

Supervisor: Administrative Supervisor

  • Receives clients in waiting area
  • Verifies clients' insurance on a consistent monthly basis
  • Updates/Maintains client demographics and profiles in chart and in electronic health and scheduling record
  • Contacts clients to remind them of appointments and monitors daily client visits using electronic health record
  • Prepares reports as requested including reports for Quality Assurance and Continuing Quality Improvement projects
  • Serves as an intermediary between supervisor and other departmental staff by transmitting written and oral requests, messages and instructions 
  • Assists in monitoring program expenditures and informs supervisor of irregularities
  • Quality Assurance: Assure that client confidentiality is maintained
  • Processes daily transportation remittance through Finance department
  • Processes daily copay/self-pay accounts 
  • Screens all telephone inquiries and routes to appropriate individual for response and maintains telephone log as required by program
  • Assists with office duties, i.e.: word processing, filing, faxing, and copying when necessary
  • Collaborate with other EHR leads and project managers to ensure processes and technical solutions are effectively integrated
  • Assures consistent standards and efficiency in data entry across data systems
  • Performs other duties as assigned by the, Supervisors, Clinical Director and Assistant Director


  • High School diploma or equivalent required, Associate's Degree preferred
  • One to two years office experience preferred
  • Bilingual English / Spanish /Chinese/ Mandarin/Cantonese preferred
  • Must be adept with computer data entry with knowledge of Microsoft Word and Excel programs
  • Expertise in adopting a new electronic health record: testing, training, and coordinating strongly preferred
  • Good communication and organizational skills
  • Must be sensitive and respectful to people with mental health issues

Hours: 17 hours per week

Salary: $17.59 per hour
