Data and Operations Associate

Reports to: Director of College and Academic Services

The Door is an unparalleled model for youth development, offering a comprehensive range of integrated services within a single site for nearly 11,000 New York City youth each year. Our mission is to empower young adults to reach their full potential by providing comprehensive youth development services in a diverse and caring environment. At The Door, youth can access health care and education, mental health counseling and crisis assistance, legal assistance, college preparation services, career development, housing supports, arts, sports and recreational activities, and nutritious meals – all for free and under one roof. By providing participants with our suite of integrated services, we seek to provide any motivated young person with the tools, resources, and opportunities needed to successfully transition to adulthood.

Talent Search seeks to increase the number of youth from disadvantaged backgrounds who complete high school or equivalent and enroll in post-secondary education institutions of their choice. In this role, the Intake and Operations Specialist will support the Talent Search team by through administrative work and some direct interaction with youth. This person will welcome new participants to the Talent Search program, help them complete intake paperwork, schedule appointments with college advisors, and provide coverage as needed to monitor and support young people participating in academic services like tutoring. S/he will also enter intake data and support the team with data management and other administrative responsibilities.


  •  Facilitate intake for new young people enrolling in College Paths, connecting them to college advisors and academic support services and scheduling follow-up appointments
  •  Process financial paperwork including supply orders, requests for payment, and petty cash reconciliations and track all expenditures across College Paths
  • Enter intake and other participant demographic, service and outcome data into Salesforce database and assist with overall data management and reports for College Paths
  •  Work with program supervisors and staff to ensure all participant files and required eligibility documentation is collected in alignment with contract requirements
  • Provide administrative and operational support to the College Paths team including helping with logistics planning for workshops, events and college trips
  • Work with program supervisors and collaborate with staff across the organization to connect students to other Door programs beyond College Paths and support their ongoing engagement at The Door
  •  Provide feedback and suggestions for program improvement
  •  Participate in College Paths staff meetings, Door trainings and other agency-wide events
  •  Participate as a member of an interdisciplinary staff in cross-departmental efforts to increase services to specific youth populations and provide appropriate support for young people
  •  Perform other responsibilities and functions as assigned by supervisor or senior management.


  •  Minimum of 2 years in administrative or data related position required
  •  Associate Required, Bachelor degree preferred
  •  Previous Data management experience required
  •  Familiarity with Salesforce or other case management databases (i.e. ETO, Client Track) strongly preferred
  •  Experience with Excel and other Microsoft Office products
  •  Interest in working with urban youth, and sensitivity to the needs and interests of the diverse young people who comprise The Door's membership population
  •  Prior work or volunteer work with adolescents preferred highly organized and flexible
  •  Demonstrate an understanding of and practice the principles of positive youth development
  •  Excellent organizational ability coupled with a flexible approach to work
  •  Strong verbal and written communication skills
  • Ability to demonstrate strong interpersonal skills across a range of audiences
  •  Ability to work independently, demonstrate sound judgment, multitask and take initiative

Hours: 35 hours per week. Occasional evening and weekend hours as needed.

Salary: Low $40s
