Position Description:

Through the NYS Office of Children & Family Services, University Settlement has received funding to implement a Healthy Families Program in the 10009 and 10035 zip codes. Through home-based visiting, University Settlement will strengthen parents’ skills and parent-child relationships primarily through intensive individualized home visits that start during pregnancy. Integrating innovative and holistic approaches to health, including yoga and infant massage, our aim is to decrease parental stress, increase self confidence and parenting skills in order to stabilize the family and integrate a healthy focus on child development within family life. The Administrative/Data Entry Assistant is responsible for the program’s computerized information collection, management, and reporting system. In addition, the responsibilities will include providing administrative support to staff and assist in developing administrative systems that will ensure efficient program operations. Applicant must be able to attend the HFNY MIS training that may require some traveling.

Responsibilities:
  • Data entry on a regular basis using the HFNY MIS program
  • Preparing monthly data reports for the funding source
  • Assist the Program Director in developing and maintaining administrative systems that will ensure program efficiency
  • Identifying resources for the program and ordering needed supplies
  • Development and distribution of correspondence to staff and agency contacts
  • Monitoring of petty cash expenditures
  • Assisting the Program Director and other staff members in developing marketing/outreach materials
  • Accepting phone calls for the program and initiate phone outreach to staff in the field
  • Participating in Settlement-wide activities and policy initiatives
  • Other duties as assigned by the Program Director
Qualifications:
  • Must have a high school diploma and two years experience in clerical and administrative roles, or recent college degree
  • Experience in Data Entry preferred
  • Must be PC proficient, highly organized and detail oriented with the capacity to work independently, as well as, to be able to participate in a team setting. Must have effective verbal and written skills
  • Demonstrated ability to take initiative, to prioritize, and to follow- up on assigned projects
  • Bilingual Spanish or Chinese preferred
Hours:

17 hours/week

Salary:

$15/hour
